How to Create a Destination Wedding Invitation With Travel Information
Airports, hotels, transfers, the itinerary, weather, packing and who to call. Exactly what travel information to put in a destination wedding invitation, and how to organise it.
The invitation to a city wedding answers three questions: when, where and what to wear. The invitation to a destination wedding has to answer thirty. Which airport? Is there a pickup? The structure
A destination invitation works best in two layers:
- The invitation: names, blessing, invitation wording, countdown and the function schedule, just like any invitation

Keep the invitation beautiful and emotional. Keep the travel guide clear and practical. Mixing them makes both harder to read.
Section 1: Getting there
- Nearest airport, with its code, for example "Udaipur (UDR)"
- Nearest railway station for guests travelling by train
- Distance and drive time from the airport or station to the venue
- Recommended arrival and departure dates, for example "Please plan to arrive by the afternoon of Thursday 10th December"
- Driving directions with a Google Maps link, for guests travelling by road
Section 2: Transfers
- Whether airport or station pickups are arranged
- How to share arrival details, for example "Please share your flight details with Rohan by 15th November"
- Pickup times or windows
- Transfers between the hotel and function venues, if they differ
Section 3: Accommodation
- Hotel name, with a map link
- Who is covering the stay, stated gently and clearly: "We are delighted to host your stay for three nights" or "A special rate has been arranged for our guests"
- How to book, if guests book themselves: a booking code or contact
- Check in and check out times
- Room sharing, if applicable: "Rooms are on a twin sharing basis"
- Alternative options for guests who want to extend their stay
Section 4: The itinerary
A day by day schedule of every function, with:
- Date and day
- Time
- Venue within the property, for example "Poolside lawn" or "Durbar Hall"
- Dress code
- Meals included
- A map button and Add to Calendar button

Section 5: Weather and packing
A short, friendly packing guide saves guests a lot of worry:
- Weather: "Days around 25°C, evenings cool at about 12°C."
- Outfits: a reminder of the dress code for each function
- Practical items: "Bring a light shawl for evening functions", "Sunscreen for the poolside Haldi", "Comfortable footwear for the sand"
- For the ceremony: "Head covering for the temple" or "Shoes are removed for the pheras"
Section 6: Local tips
A few lines about the destination makes guests feel looked after:
- Things to see nearby
- Recommended local food
- Shopping for last minute outfits or souvenirs
- Currency and payment tips, for weddings abroad
- Mobile network or SIM advice, for international guests
Section 7: For international guests
If guests are travelling from other countries, add:
- Visa requirements and an offer of invitation letters
- International airport options
- Time zone note: "All times are local time"

Section 8: Contacts
Name one or two people for travel questions, and make them tappable for call and WhatsApp. Ideally not the couple or their parents, who will be busy. A cousin, a friend or the wedding planner is perfect.
Section 9: RSVP
Destination RSVPs need an earlier deadline because hotels need numbers in advance. Make the deadline prominent: "Kindly RSVP by 15th October so we can confirm your room." Getting there: The nearest airport is Udaipur (UDR), about 40 minutes from the hotel. Direct flights are available from Mumbai, Delhi and Bengaluru. Please plan to arrive by 2 pm on Thursday 10th December.
