This Privacy Policy explains how Artgrafy (“we”, “us”) collects and uses personal data when you use www.artgrafy.com, order an invitation, or reply to an invitation as a guest. We process personal data in line with India’s Digital Personal Data Protection Act, 2023 and other applicable laws.
1. Who is responsible for your data
Artgrafy, Ahmedabad, Gujarat, India - email hello@example.com, phone / WhatsApp +91 99999 99999. For guest RSVP data, the host who ordered the invitation decides who is invited; we process RSVP data on the host’s behalf to provide the service.
2. Data we collect
- Customers (hosts): name, WhatsApp number, email, order and plan details, and the invitation content you send us - names, family details, event dates, venues and addresses, wording, photos and music.
- Payments: payment status and transaction references (for example a UPI reference number or Razorpay payment ID). Card, UPI PIN and bank login details are handled by the payment partner and are never seen or stored by us.
- Guests: the name, phone number (optional), attendance, number of guests and message entered in an RSVP form.
- Contact form: name, phone, email and your message.
- Technical data: basic information needed to run the website securely, such as a session cookie and server logs (IP address, browser type, pages visited).
3. Why we use it
- To create, host and deliver your invitation and show RSVPs to you.
- To process payments and keep accounting and tax records.
- To contact you about your order and answer your questions (WhatsApp, phone or email).
- To keep the website secure and prevent fraud or abuse.
- To show finished invitations as samples and reuse our designs as templates (see section 7).
- To send occasional offers - only if you agree, and you can opt out at any time.
4. Legal basis
We process data with your consent (for example when you place an order or send an RSVP), to perform our contract with you, and to comply with legal obligations such as tax record-keeping.
5. Who we share data with
We never sell your personal data. We share it only with service providers who help us run the service, under appropriate confidentiality: our payment partner (Razorpay) and banks, our hosting and database providers, and messaging services you choose to use with us (such as WhatsApp). We may disclose data if required by law.
6. Your invitation is private by link
Invitation pages are hidden from search engines and can be seen by anyone who has the link. Please share your link only with your guests. Hosts can hide guest messages from the public wishes wall at any time. Invitations we show as samples (section 7) are also visible from our website.
7. Showcasing invitations as samples
The invitations we make are our designs, and we may reuse or adapt the design made for you as a template for other customers. To show future customers our work, we may also display your finished invitation as a sample or live demo - on our website, in our design catalogue and on our social media pages.
- What may be shown: the invitation as designed, including the names, event dates, venues, wording, photos and music that appear on it.
- What is never shown: your phone number, email address, payment details, your private manage link, or your guests’ RSVP replies and messages.
- Your choice: by placing an order you consent to this use. You can withdraw that consent at any time - message us on WhatsApp at +91 99999 99999 or email hello@example.com - and within 7 days we will remove your invitation from our samples or replace your names, photos and details with sample content. Opting out does not affect your own invitation.
8. How long we keep data
We keep your invitation and its RSVPs while your invitation is online (at least 12 months after your event) and then delete them, unless you ask us to delete them earlier. Invitations used as samples (section 7) may stay online until you ask us to remove your details. Payment and invoice records are kept for as long as tax laws require (usually up to 8 years).
9. Your rights
You can ask us to access, correct, update or delete your personal data, withdraw consent, or nominate another person to exercise these rights on your behalf. Guests can ask the host or us to remove their RSVP. To make a request, email hello@example.com. If you are not satisfied with our response you may complain to the Data Protection Board of India.
10. Cookies
We use only the cookies needed for the website to work - for example to keep you signed in, protect forms and remember your session. We do not use advertising cookies. If you choose a language other than English in the language menu, the page is translated by Google Translate: the page text is sent to Google, and Google may set its own cookie to remember your choice.
11. Security
We use HTTPS encryption, access controls, secure password storage and regular backups to protect your data. No online service can be 100% secure, but we work hard to keep your information safe and will notify you and the authorities of any serious breach as required by law.
12. Children
Our service is meant for adults placing orders. Invitations may include children’s names or photos (for example for a naming ceremony) only when provided by their parent or guardian. We do not show children’s photos in our samples without the parent’s or guardian’s specific permission.
13. Changes to this policy
We may update this Privacy Policy. The latest version is always published on this page with its “last updated” date.
