Wedding Invitation Website vs PDF vs Video: Which Format Should You Choose?
An honest comparison of the three digital invitation formats: cost, guest experience, RSVPs, updates and what elders actually prefer. Plus our recommendation.
You have decided to go digital. Good. Now comes the next question, and it is the one we hear most often on WhatsApp: "Should we make a video, a PDF or a website?" Your cousin had a video and it looked lovely. Your friend sent a PDF and it was simple. A colleague sent a link that opened into a full invitation with maps and an RSVP form.
All three are legitimate choices. This post compares the wedding invitation website vs PDF vs video formats honestly, including where each one is weak, so you can decide based on your wedding and your guests rather than on what someone else did.
The three formats in one line each
- PDF or image invitation: a designed card exported as a file. Opens like a photo or document.
- Video invitation: a 30 to 90 second animated video, usually with music, shared as an MP4 file.
- Invitation website: a small personal website that opens from a link, with every event, maps, countdown, gallery, music and RSVP.
Quick comparison table

PDF and image invitations
What they do well
A PDF or JPEG card is the closest thing to a printed card. It is quick to make, lightweight to send, and everyone knows how to open it. If you already have a printed card design, exporting it as an image takes minutes. It is also the only one of the three that you can print easily if a few relatives want a physical copy.
Where they fall short
- Once sent, it is final. If the venue changes, you have to make a new file and resend it to everyone, and some guests will still look at the old one.
- Addresses are just text. Guests have to copy the venue name into Maps and hope they pick the right branch.
- Small text on phones. A card designed for print often has text that is too small to read on a phone without pinching and zooming. Elders struggle with this.
- No idea who is coming. There is no RSVP, so you collect replies one by one on WhatsApp or by phone.
- Multi day weddings get crowded. Fitting six functions on one image means tiny text, or a PDF with several pages that many guests never scroll through.
Best for
Small, simple functions with one venue and a short guest list, or as a printable companion to a digital invitation.
Video invitations
What they do well
Video has been the default WhatsApp wedding invitation in India for years, and for good reason. Music, animation and photos together create a festive mood that nothing else matches in the first ten seconds. Guests forward good videos. Elders enjoy watching them, often more than once.
Where they fall short
- Information is hard to find again. When a guest needs the Sangeet time a week later, they have to find the video, play it and wait for the right part. Most just call you.
- Heavy files. A wedding video is often 10 to 30 MB. Multiply that by every group it gets forwarded in and it fills up guests' phone storage. Some people have auto download turned off and never open it at all.
- Frozen once rendered. Any change means re editing the video and resending it.
- Compression. WhatsApp compresses video, so fine text and details can become blurry.
- No RSVP, no maps. Same as PDF, everything practical happens elsewhere.
Best for
Creating excitement, especially for guests who love forwards. It works brilliantly as a teaser that points to the full invitation.

Invitation websites
What they do well
A wedding invitation website is the only format that is both beautiful and useful for the entire wedding, not just the moment it is opened. Guests tap the link and get:
- An animated opening and background music, so it feels festive like a video
- Every function on its own card with date, time, venue and a Google Maps button
- A live countdown and Add to Calendar
- A swipeable photo gallery
- An RSVP form that feeds a private dashboard with your live head count
- A blessings wall where guests leave messages
- Tappable contact numbers for the family
And crucially, it is never out of date. If the muhurat changes, you update the invitation and the same link shows the new time to everyone.
Where they fall short
- It needs internet to open. In a basement banquet hall with no signal, a guest cannot load it. In practice, most guests check details before leaving home, but it is worth knowing.
- Some elders are less familiar with links. A few older relatives may be more comfortable with a video. A simple, clear design and a personal phone call usually solve this.
- Quality varies a lot between providers. A slow, cluttered invitation website is worse than a good PDF. Always open the demo on an ordinary phone before choosing.
Best for
Most Indian weddings, honestly. Especially those with multiple functions, multiple venues, out of town guests, or a large guest list where knowing the head count saves real money.
One wedding, three formats: a real world scenario
Comparisons on paper only go so far. Here is the same situation played out with each format, because this exact thing happens at a surprising number of weddings.
Three weeks before the wedding, the pandit revises the muhurat for the pheras from 11:30 am to 9:15 am. At the same time, the reception moves to a different hall in the same banquet complex.
With a PDF invitation
You edit the design, export a new file and resend it to every guest. Some guests save both files. Some only see the first one. On the wedding day, a group of relatives arrive at 11 am, just as the pheras are finishing.
With a video invitation
You ask the video maker to re edit and render a new version, which takes a day or two and may cost extra. You resend a 20 MB file to everyone. The old video is still circulating in family groups, and some guests watch that one instead.
With an invitation website
You message us the new time and hall. The invitation is updated, and the same link shows the new details to every guest who opens it. You send a short WhatsApp note: "Please note, the pheras muhurat is now 9:15 am. The invitation link has the updated details." Anyone who taps the old link sees the correct information.
This is the single biggest reason the wedding invitation website vs PDF vs video debate usually ends in favour of the website for multi function weddings. It is not about looks. All three can look beautiful. It is about what happens when real life changes the plan.
What about cost?
Costs vary across the market, but broadly:
- PDF / image cards are usually the cheapest, sometimes free if you use a template app and do it yourself.
- Video invitations range from a few hundred rupees for a template video to several thousand for a custom one with photos.
- Invitation websites are often in the same range as a good video. Ours start at ₹999 for the Essential plan, with Premium at ₹2,499 and fully custom Royal designs at ₹4,999. See the plans page for exactly what each includes.
When you compare, factor in the hidden savings. A reliable head count from RSVPs can easily save you more than the invitation itself in catering costs, and not having to remake and resend files after a change saves stress you cannot put a price on.
The combination most families end up choosing
After many conversations, here is what we have seen work best for a typical Indian wedding:
- Invitation website as the main invite. It holds every detail, collects RSVPs and stays updated.
- Short video or image as a teaser, optional, sent with the link for guests who enjoy a festive forward.
- A handful of printed cards for the most senior relatives, the family deity and anyone who would genuinely feel hurt without one.
This covers every kind of guest without doubling your work, because all the practical information lives in one place.
How to decide in five minutes
Answer these honestly:
- More than two functions? Choose a website.
- More than 150 guests? Choose a website, mainly for the RSVPs.
- Guests coming from out of town or abroad? Website, for maps and updates.
- Single small function at home, 30 guests? A PDF or image is perfectly fine.
- Want maximum festive buzz in family groups? Add a short video teaser that links to the website.
Questions couples ask us
Can I convert my invitation website into a PDF or video?
Not automatically, but we can create matching formats from the same design if you want a printable card or a short teaser for WhatsApp.
Will guests need an app to open a wedding invitation website?
No. It is a normal link that opens in the phone's browser from WhatsApp, SMS, Instagram or email.
How long does an invitation website stay live?
Your invitation link stays live for at least 12 months after your event, so guests can revisit it and you can keep reading the blessings. Details are on our FAQ page.
Is a video invitation outdated now?
Not at all. Video is still a wonderful way to build excitement. It just works better alongside a format that handles the practical details.
Our honest recommendation
If your wedding is more than a single small function, make an invitation website your main invite. Use a video as a teaser if your family loves them, and print a few cards for the elders who would treasure one. That combination gives you the festive feel of video, the practicality of a website and the respect of a printed card.
