- Give a date. "Kindly RSVP by 25th November" works far better than an open request.
- Keep the form short. Every extra question loses replies. Name, attending and number of guests is enough.

Following up with guests who have not replied
About ten days before your RSVP date, download the list and see who is missing. Then send a gentle reminder. Keep it warm, never accusing:
"Namaste Kaka! Just a gentle reminder about Riya's wedding on 12th December. Whenever you get a minute, please tap RSVP on the invitation link so we can plan. Can't wait to see you all!"
For elders who are not comfortable with forms, simply call them. You can note their reply yourself in your spreadsheet. The goal is a complete list, not forcing everyone to use the form.
Turning RSVPs into a catering number
Once replies are in, here is a practical way to arrive at your final number:
- Start with the total guests from Yes replies.
- Add a portion of the Maybe guests based on what you know about them. A Maybe from a cousin in the same city is more likely than a Maybe from a friend abroad.
- Add the people you know are coming who replied by phone instead.
- Ask your caterer what margin they recommend for walk ins and unexpected guests. Every caterer has a view on this based on their experience with weddings in your community.
Share the downloaded spreadsheet with your caterer and hotel coordinator directly. It saves a lot of back and forth.
A simple wedding RSVP management system for both families
The dashboard collects the replies, but a little routine around it is what makes wedding RSVP management actually stress free. This is the system we suggest to families:
- Pick one RSVP owner on each side. Usually a sibling or cousin who is organised and comfortable with a phone. They are the only people who share the dashboard link and talk to the caterer about numbers.
- Keep a master sheet. Download the replies into Google Sheets and add a few columns of your own: which side the guest belongs to, whether they need a hotel room, whether they need pickup from the station or airport, and any notes about elderly guests who need seating near the stage.
- Check once a week, not once an hour. Watching replies come in is exciting for the first two days and exhausting after that. A fixed weekly check, say every Sunday evening, keeps everyone sane.
- Update the caterer at fixed points. Most caterers want an early estimate, a firmer number around two weeks out and the final count a few days before. Use the dashboard totals at each of these points.
- Follow up in batches. When you check each week, make a short list of people who have not replied and split the calls between both owners.

What to keep in mind
Digital RSVP is powerful, but a few honest limitations are worth knowing:
